HVAC answering services work, but not the way most contractors expect

The answer depends on your warranty terms, whether the customer is under contract, whether you installed the system, and sometimes on which tech will be going out. I've watched our AI give four different answers to the same question depending on how the customer phrased it, and none of them were actually wrong, but two of them were overly cautious and one was too casual.

The fix: don't use the AI to answer technical questions. Use it to take the question, log it, and route it to your office or a senior tech for callback. You get the benefit (the customer isn't left hanging) without the risk (the AI making a promise about warranty or pricing).

A second limitation: the AI can't diagnose problems. A customer says "My furnace is making a grinding noise." The AI will ask clarifying questions (when did it start, what else is happening, etc.) but it can't say "that's probably a blower motor, could be $600-$1,200." It's not qualified to, and saying something wrong here breaks trust. Again, the fix is to take the information and route it, not to answer.

And one more: the AI isn't great at handling upset customers who are already frustrated because their system is down. Most of the time it handles it fine. But maybe 5-8% of the time a customer gets impatient with an AI and hangs up mid-conversation. For HVAC, this is rare enough that it's worth accepting, but it's not zero.

What HVAC answering services actually prevent
