A plumber on the roof at 2pm who can't answer his phone
This is the core problem I designed AlphaAssist to solve. A roofing contractor or plumber is mid-job, hands wet or full, and the phone rings. The call goes to voicemail. The customer either books with someone else or doesn't leave a message at all.
Three things happen in that missed call window:
- The customer tries to reach you because they have money to spend right now (not tomorrow, not next week)
- Your competitor answers on the second or third ring
- You lose the job and never know it existed
I built AlphaAssist because I'd seen this play out for years in service businesses. The traditional solution was hiring an office receptionist or outsourcing to an answering service in Manila or Bangalore, which costs $800 to $2,000 a month and still has 30-second hold times because the person answering is juggling 50 calls.
An AI receptionist that answers instantly, takes a message, texts it to you within seconds, and optionally books appointments into Google Calendar changes the math entirely.
Why the obvious solution doesn't actually work for plumbing
Before I built this, I looked at what was already out there. Nextiva, Vonage, Goodcall, and others offer AI answering. But most of them are built for the generic "small business" and make tradeoffs that don't fit how plumbers actually operate.
The biggest one: they route the call to your mobile if you don't answer within a few rings. Sounds good in theory. In practice, if you're on a job, you still can't answer. And now the system has used up its one chance to help you.
What a plumber actually needs is for the AI to stop trying to transfer the call after two rings and just take the message cleanly. Write it down. Send it to SMS instantly. Let you handle it when you're back in the truck.
A second issue: most AI answering services charge $60 to $100 a month and then meter call minutes at $0.10 to $0.20 per minute. A plumber who gets 10 calls a day (300 minutes per month) hits overages fast. I set AlphaAssist's Starter tier at $39.99/mo and included 300 minutes, with overages at $0.15 per minute. The Professional tier is $69.99/mo for 500 minutes and adds Google Calendar booking and callback scheduling, which means the AI can offer a time slot instead of just taking a message.
But the real difference is the messaging part. When the AI takes a message and immediately texts you the transcript (with the customer's name and number), you have context before you call back. You're not digging through voicemails at 6pm trying to remember which call was for the water heater and which was for the burst pipe.
How it actually works in a plumber's pocket
You set up a local phone number (included in all tiers). Customers call that number. If you don't answer within a few rings, the AI picks up, greets them with your name and business, and asks what they need.
The AI listens, confirms the address and callback number, and sends you an SMS with the transcript. If you've trained the system with your service areas and pricing tiers (which you do in a Google Doc that we pull in), the AI can tell a customer whether you serve their zip code before wasting 20 minutes on a call you can't take anyway.
The Professional and Enterprise tiers can offer appointment booking. The AI says "I have 2pm and 4pm open tomorrow" (pulling from your Google Calendar) and books it directly. The customer gets a confirmation text. You don't have to chase them down later.
We use Claude Haiku for SMS transcription (latency is less important than accuracy) and Cartesia Sonic 3 for voice (fast enough that most customers don't notice it's AI). The integration with Google Calendar is native; Jobber and HubSpot CRM are native on the Enterprise tier, with Zapier webhooks on Professional for everything else.
What it doesn't do (and when to use something else)
This system is built for the phone call window: answering when you can't, taking a message, booking an appointment, getting you the info you need to follow up intelligently.
It's not a full CRM. It doesn't track repeat customers, seasonal demand patterns, or lifetime value. Jobber does that better; we integrate with it, but we don't replace it.
It's not a lead-generation service. If you're looking for someone to build you a list of unlicensed contractors in your area so you can cold-call them, or to scrape Google Maps and send bulk SMS, that's a different tool and frankly not one I'd recommend anyway. (Alpha AI Services doesn't sell lead lists; if that's your actual need, look at Leadiro or LeadIQ, though I'd honestly spend your money on answering the phone better first.)
Some callers can tell it's AI. Not many (we score high on the Turing test in early testing), but some. If this bothers you, it's worth knowing upfront. A few plumbers have told me they prefer to handle intake calls themselves but use AlphaAssist for the 6pm-8am window when they physically can't answer. That's a totally valid use case too.
And if you're answering 50+ calls a day, you probably need a human receptionist or a more sophisticated call center stack. We're built for the 3 to 15 calls per day range.
The core question: does it actually save you money?
A human answering service costs $1,000 to $2,000 per month. AlphaAssist is $39.99 to $119.99 per month. Even the Growth Stack tier at $399.99/mo (which includes 4,000 minutes and is built for someone running multiple businesses) is a quarter the cost of a traditional service.
But the real win isn't the cost. It's the speed. Texts are instant. Your competition is still listening to voicemails at 6pm. You're already calling the customer back at 2:30pm because they got to you before you even finished the job you were on.
I've heard from plumbers that this narrows the gap between them and the big contractors who have office staff. A solo operator or two-person crew can now answer like a ten-person company.
How to try it
If you want to hear how it sounds, call the demo line at (413) 331-7776. It's set up to mimic a plumbing business. You'll get a sense of the flow, the voice quality, and how the message capture works. You can also visit alphaai-assist.com to sign up for the Starter plan ($39.99/mo, 300 minutes) and add your own number.
The setup takes about 20 minutes: upload a Google Doc with your service areas and pricing, connect your Google Calendar, and that's it. The system trains itself from what you give it.
If you want to talk through whether this fits your specific setup (multiple locations, contractors you dispatch to, etc.), email me at don@alphaai-services.com. I answer those myself.
The missed call problem doesn't require a complicated solution. It requires a fast one. That's what this is built for.
